Administrative Coordinator


Main goal:

The main goal of the Administrative Coordinator position is to perform administrative duties to support managerial activities to carry out the Chamber’s Business Plan.


Daily tasks for this position may include:

  • Serving as primary telephone operator

  • Processing of mail (opening it upon arrival to office and delivering it to post box at conclusion of day)

  • Processing daily checks and credit card transactions from mail and phone

  • Responding to written, telephone and email inquiries regarding visitor, relocation or membership information

  • Greeting walk-in guests and handling their requests or directing them to the proper staff member

  • Maintaining lobby, work room, board room and supply room keeping all in a clean and orderly fashion (includes daily cleanup of coffee pots and cups)

  • Preparing minutes and agendas for committee meetings

  • Assisting in registration for special, and monthly events

  • General correspondence and filing

  • Preparing for meetings by making coffee and arranging for any special needs

  • Opening & closing office each day


Other tasks for the position may include but are not limited to:

  • Monitoring postage meter, copier and office supplies inventory

  • Maintaining supply of general office products [i.e. soda, napkins, plates, coffee]

  • Maintaining supply of brochures and printed materials in lobby information racks

  • Making reminder emails and phone calls for meetings

  • Maintaining membership database

  • Knowledgeable in Microsoft Office Suite and Constant Contact

  • Attending committee meetings and board meetings and preparing minutes from these meetings

  • Assisting with preparation for special events

  • Making reservations for meetings as necessary

  • Attending special events as requested

  • Helping in all departments as necessary

  • Other duties as assigned or needed
